Track progress from the document’s record.Document Manager brings review, naming and filing together. These controls have different jobs; client assignment, document sharing and duplicate handling are separate actions.
Open a file from Needs review or Ready. Check the client, original and suggested names, document type and target folder. Correct the details before approving it.
Open the client’s folder to find documents, create folders and move selected files. Select the files you want to share with that client’s inbox.
The business owner sets naming formats, filing behavior, category folders and duplicate handling. Review-before-filing and eligible automatic filing follow those office rules.
| Control | Where to find it | Availability |
|---|---|---|
| AI document review | Document Manager inbox and review screen | Requires Document Manager access and available AI credits |
| Naming & duplicate rules | Naming & filing rules | Business owner only |
| Move, organize & share | A client’s document folder | Requires access to Document Manager; sharing sends selected files to the client inbox |
| E-signature workflow | TAAX ESign | Separate feature access; not included with every dashboard plan |
Employee client lists follow their linked records. Document Manager is an office document workspace scoped to the business. A client assignment should not be treated as a per-file permission setting.
Filing checks for a matching filename for the same client in the business. The owner’s rule can pause the file for comparison, keep both with a distinct name or replace the existing document. The matching rule is based on names, not a guarantee that two files have identical contents.
Keep both saves separate, distinctly named documents. It is not a version-restore timeline. Replacing a duplicate removes the earlier filed copy, so choose the duplicate rule that suits your office’s retention process.
The client record has recent activity, and Document Manager shows file status, original and suggested names during review, and updated information. This workflow does not provide a complete immutable audit log or a browsable version-restore history.
Yes. The business owner chooses the filing behavior in Naming & filing rules. With review required, your office checks the suggestions before filing. Automatic filing applies only to eligible files under the office’s rules; missing client details, warnings or duplicate rules can keep a file in review.
